qzenchat Data Deletion Policy and Instructions
Effective date: October 28, 2026
Operator: QUANTERON LLC
Deletion contact: privacy@qzenchat.com
1. Request deletion without an account
You can request deletion of personal information held by qzenchat by emailing privacy@qzenchat.com. Use the subject "qzenchat data deletion request."
You do not need to sign in, retain a Facebook or Instagram account, reconnect an integration, subscribe, or create a qzenchat account to make a request. Routine requests are free. We accept requests in English or Bangla.
You may use our Data Deletion Request Form as an email template. Sending the email is the submission step; merely viewing or completing a Markdown template does not submit a request.
Include only enough information to locate the relevant records:
- A reply email address.
- Whether you are a qzenchat account user, workspace owner or administrator, a merchant's customer, or an authorized representative.
- The merchant or workspace name, if known.
- The email address, phone number with country code, or connected-account identifier used in the relevant interaction.
- What you want deleted: particular conversations, your customer record, a connected account's data, your own qzenchat account, or an entire workspace if you have authority.
Do not send account passwords, access tokens, app secrets, complete payment details, government identity numbers, or copies of entire conversations. If additional verification is needed, we will explain the minimum information required and an appropriate method.
2. Who can request deletion
You may request deletion of your own personal information even if you have never signed in to qzenchat. Authorized representatives may request on someone's behalf with appropriate authority.
Workspace owners or authorized administrators may request deletion of business-controlled records or a workspace, subject to verification of authority and the rights of other people. An ordinary staff member's request to delete their personal account does not automatically authorize deletion of the business's entire workspace.
If you are a merchant's customer, that merchant generally controls its customer records and we process them on its behalf. We will coordinate with the merchant where necessary, disclose only what is needed, and keep track of the request. We will not require you to create an account or treat merchant involvement as an excuse to ignore applicable rights or platform-required deletion.
We may explain that some records are not held by qzenchat or that a request should also be sent to another organization.
3. What happens after a request
- Receipt and reference: We record the request and aim to acknowledge it within five business days, giving you a reference number and a way to obtain updates by replying to the email.
- Proportionate verification: We verify identity or authority using the least intrusive reasonable method, such as confirmation from a known email address or information about the relevant business interaction. We do not require access to a deleted social account as the only verification method.
- Scope and coordination: We identify relevant workspaces, connected accounts, systems, service providers, and any legitimate retention requirements. We may ask you to clarify scope without demanding unnecessary data.
- Stop inappropriate processing: We revoke or disconnect access where relevant and prevent deleted information from remaining in active workflows, retrieval, scheduled messages, or other ordinary processing.
- Deletion or appropriate anonymization: We remove the covered information from applicable active systems and instruct relevant service providers to handle their copies as required. Anonymization is used only where legally and contractually permitted and where the result cannot reasonably be linked back to you; masking a display name alone is not anonymization.
- Completion notice: We tell you what was deleted, whether any categories remain, why they remain, the applicable retention basis, and any remaining backup-expiry period. If nothing matching the request is found, we explain that without falsely claiming deletion occurred.
We aim to complete ordinary requests within 30 calendar days of receipt, and sooner where law or Meta or other provider rules require prompt action. We do not wait until day 30 when a request can reasonably be completed earlier.
If applicable law permits an extension, we provide the required notice and explanation within the original deadline. Verification does not automatically restart a statutory clock. We will explain any delay rather than silently marking a request complete.
You can request an update by emailing privacy@qzenchat.com with your reference number. A public status portal or automatic Meta callback is not required to use this email process.
4. Systems and data covered
Depending on your relationship and request scope, deletion can cover:
- Account profile details, active sessions, and membership links.
- Connected-channel identifiers, credentials, permissions, and stored platform information.
- Contact records, conversation content, supported media, attachments, and related personal identifiers.
- Orders, delivery details, appointment details, reminders, and booking information, subject to lawful recordkeeping requirements.
- Uploaded knowledge and applicable derived text, chunks, indexes, embeddings, and stored files.
- Calendar connection credentials, imported availability, and local synchronization references.
- Relevant caches, queued or scheduled work, temporary processing copies, and provider-held copies under our control.
- Personal information in operational datasets where it can be identified and deletion is required.
Deleting one knowledge source does not necessarily delete an independently supplied copy in a different authorized source. We assess request scope across sources rather than assuming a single file operation removes every copy.
Deleting a staff account does not automatically erase another person's messages or business records; we assess those records separately and remove or de-identify personal references where required.
5. Meta, Facebook, Instagram, Messenger, and WhatsApp
If you used or interacted with qzenchat through a Meta-connected business:
- Email privacy@qzenchat.com with the merchant name and the identifier used to interact, if known.
- Tell us that the request concerns Facebook, Instagram, Messenger, or WhatsApp information.
- Specify whether you want a particular interaction removed or all information about you held through that connection.
We delete Meta Platform Data promptly when a valid user or merchant request, Meta instruction, account closure, or loss of a permitted purpose requires it. A merchant's general preference to retain history is not sufficient to override Meta's deletion requirements. If applicable law requires retention, we limit it to the legally required records and document the legal basis.
To prevent future access, you may also remove qzenchat in the relevant Facebook Settings and privacy > Settings > Apps and websites, Business integrations, or the applicable business-account settings. Labels vary by account and interface. Where Meta displays a Send request deletion option for the app, you may use it.
Removing access is distinct from asking us to delete records. Use the email method for a direct, trackable request regardless of whether a Meta deletion option appears.
If qzenchat provides an automated Meta deletion callback for the app you used, that mechanism should return a confirmation code and a status link. You can still contact us by email. This page does not claim that such a callback is deployed.
Deleting information from qzenchat does not delete your Facebook, Instagram, or WhatsApp account, messages stored in another person's account, or records held by Meta independently. Requests about those systems must also be directed to Meta.
6. Google and other calendar information
You may revoke Google access through Google Account connections. You may also disconnect a supported calendar in qzenchat where that control is available.
For deletion of previously stored information, email privacy@qzenchat.com and identify the connected account and workspace. We assess the relevant tokens, account information, imported availability, and synchronization records.
Revoking access can prevent qzenchat from removing events already exported to your external calendar. Such events may need to be removed directly in Google Calendar, Microsoft Outlook, or the relevant calendar service. We will explain these limits rather than claim control over an account we can no longer access.
Deleting a local appointment or connection is not a request to delete your Google or Microsoft account.
7. Backup copies and restricted retained records
Covered data is targeted for deletion from primary systems within the request period described above. Backup copies may remain until their normal rotation expires, no later than 90 days after primary-system deletion, unless a documented legal preservation requirement applies.
Backup copies are not used for ordinary business processing of deleted information. If a backup is restored, relevant deletion instructions must be reapplied before normal service resumes.
Where legally and contractually permitted, limited records may remain for:
- A specific accounting, tax, legal-preservation, or regulatory obligation.
- Establishing or defending a legal claim.
- Necessary fraud or security investigations, with restricted access.
- A minimal record demonstrating the request, verification, actions, and outcome.
- A minimal suppression record needed to respect an opt-out and prevent unwanted recontact.
We do not retain complete message histories merely to prove that a request was processed. Minimal request records are normally retained for up to 24 months after closure. Any shorter provider requirement or different mandatory legal period controls.
For Meta Platform Data, we apply Meta's narrower permitted retention exceptions; generic business continuity, analytics, or a preference to maintain archives does not justify continued retention.
If we cannot delete part of the information, our response will identify the category and reason, the applicable legal basis where relevant, and the period or review criterion. Access will be limited to the retained purpose.
8. Effects and limits of deletion
Deletion may permanently remove conversation history, knowledge, account access, order context, or booking information and may disable a connected service. Request any needed export before deletion; export remains subject to privacy, authority, legal, and provider restrictions.
Deleting information is not the same as canceling an order, refunding a purchase, canceling an appointment, or canceling a qzenchat subscription. State those requests separately so the appropriate organization can handle them.
We cannot directly delete copies held independently by a merchant outside qzenchat, a courier, a payment provider, a messaging recipient, or another service acting for its own purposes. We will explain relevant recipients and take any required steps within our responsibility; we do not use this limitation to avoid directing our own processors.
A deleted interaction can be created again if you later initiate a new conversation or transaction. We treat that as a new interaction, not permission to restore old deleted records. When requested and lawful, we retain only the minimal suppression information necessary to prevent further unsolicited contact.
9. Review, complaints, and contact
If you disagree with our response, reply with your reference number and ask for review. We will reassess the scope, verification, and any exception. You may also contact the merchant's privacy contact or the competent authority where applicable law provides that right.
